Equipment Rentals

What equipment does ITS have available for checkout?
Please check the “General Equipment” section of our website for the list of items we have for checkout.

Is there a time limit for equipment checkouts?
It depends on the equipment; some can be checked out for only four hours, but other equipment can be checked out for as long as three days.

Are there related rental charges?

  • Generally speaking, the only checkout equipment with a charge are projectors. (Note: if the projector is for a PCM, there is no charge).
  • Equipment rental costs for Communication majors are covered by class fees.

Can a faculty or staff member rent equipment for an non-Moody event?
No. Students pay a technology fee every semester that covers the cost of checkout equipment for them. Faculty and staff don’t have a corresponding fee.

I’m a part of an event at church. Can I borrow a video projector for it and, if so, what is the cost?
Students can borrow projectors for a church event because it is covered as part of their technology fee. Since faculty and staff don’t pay a corresponding fee, they don’t have the same checkout privileges.

What if I break an ITS checkout item?
You will be charged a fine on your Library account for the balance of the broken item.

We also handle purchasing and distribution of flash drives for speech and preaching classes. Flash drives are included as part of the class fee for these classes, and they are not available for general sale. Professors pick up what they need from the Sweeting Support Center desk.

How do I connect a Mac laptop to a smart desk?
For older Macs and the new MacBook with Retina Display you will need to use a Mini DisplayPort to VGA or a Mini DisplayPort to HDMI adapter, which are available for checkout from the Sweeting Support Center desk. We also have USB3 adapters available for checkout.

Room Reservations

What process does a student follow for reserving a meeting room?

  • Go to rooms.moody.edu and follow the procedures for requesting a room.
  • Communication students who need to reserve an audio edit suite, video edit suite, or the TV studio should go to rooms.moody.edu and follow the procedures for reserving a suite. You may request the TV studio, but you must reserve it one day in advance. Your request must be approved by ITS before you can access the room.

What is the procedure for reserving Torrey Gray or Alumni Auditorium?
The Music department owns both auditoriums. Call the Doane desk to determine if an auditorium is available for use. If it is, go to rooms.moody.edu to reserve it. After your request has been submitted and approved, you will receive an e-mail confirming your request. Any request for Torrey Gray auditorium must go through Event and Guest Services or the Music department.

Is a sound system included when I reserve an auditorium?
A confirmed room or auditorium only confirms the room, not any equipment.

  • Alumni Auditorium has a working smart desk that is available free of charge. The smart desk includes the capability to play videos or use a laptop with sound if needed. A desk microphone may also be used if requested. You must complete an Audio-Visual Request Form to request the smart desk. Events requiring more than the smart desk require an ITS employee to set up and operate the AV systems (hourly rate apply).
  • Usage of Torrey Gray Auditorium must be approved by Events and Guest Services unless it is for a chapel. An ITS technician must be present for any event in Torrey Gray if sound, lights, or video will be used (hourly rates apply).

How do I request that the smart desk be removed from the Alumni Auditorium stage?
If you need the Alumni smart desk to be removed from the stage, you must complete Audio-Visual Request Form. Fill out all the information requested on the form—in the “describe equipment needs” box, specify that you need the smart desk to be moved. ITS will fulfill the request unless there is a conflict.

What is the process when a student group has an event?

  • For any event on campus the first point of contact is Events and Guest Services. They will handle all the logistics.
  • If an ITS tech is needed there will a labor charge.
  • You may check out some AV equipment free of charge, but you must pick it up and return it after the event.

What is the process when a student group has a chapel?
For chapel, the first point of contact is Student Development. A student from the group must fill out an Audio-Visual Request Form—in the “describe equipment needs” box list the equipment you will need. Depending on the complexity of the request, ITS may contact you for clarification.

What AV equipment can I use for my event, and are there any charges?
If the request is for a class project or PCM, there is no charge. Go to the “General Equipment” section of our website to see a list of available items.
